Platform
Does the operator need an account to do inspections?
No. The operator scans the machine's QR code and selects their name — no separate login is needed for daily inspections.
Does FleetSafety work on mobile?
Yes. Daily inspections, incident reporting and signing are done directly on mobile, out at the machine.
How do QR codes on machines work?
Each machine gets a QR code. The operator scans it to run inspections and see the machine's documents and history.
Can we prove compliance during an audit?
Yes. Every inspection, signature and authorisation is time-stamped, searchable and tied to the right person and machine.
Security & data
Where is our data stored?
All data is stored within the EU and accessible only to authorised users in your company.
How long is documentation kept?
Traceability, signatures and authorisations are kept as long as you need them for audits and follow-up.
How does authorisation work in the system?
FleetSafety verifies training records and issues digital operating permits, so the right person gets the right authorisation before work is carried out.
What happens when a certificate expires?
The system reminds you in good time and can block work that requires an authorisation that has expired.
Onboarding
How do we get started?
We help you set up machines, staff and authorisations. Most teams are up and running within a couple of weeks.
Do we need to train staff?
Daily inspections require no login and are made to work right away. Administrators get a short walkthrough.
Can we import existing machines and staff?
Yes. We help you bring in existing records so you don't have to start from scratch.
Do we get support during rollout?
Yes. You have support in Swedish and Finnish throughout the rollout.
Pricing & agreements
What does FleetSafety cost?
Pricing is based on the number of users, machines and needs. Book a demo and we'll go through the setup — see also the pricing page.
How long is the contract term?
We usually sign annual agreements but adapt to your situation and go through the terms in advance.
How do we cancel?
You cancel in writing per the agreement terms and can export your data before the account is closed.
Are there hidden fees?
No. You know what you pay for before you start.

Can FleetSafety connect to other systems?

Can we export data?
Yes. You can export documentation and history for audits or transfer.
Does it work for subcontractors?
Yes. External parties can apply and upload proof that's verified before they're let onto the worksite.
Do you support both Swedish and Finnish?
Yes. The platform and support are available in both Swedish and Finnish.
